Frontring

Can an AI answer your email?

Yes. Sofia, Frontring's AI receptionist, also answers the mails that land in your business's inbox: questions about prices, opening hours and services, from your own information and from your own address. What she can't answer herself she registers as a request for you.

What she answers

  • Questions about prices, opening hours and services, from what you've given her.
  • Several questions in one mail. She answers all of them, in the order they come.
  • Mails in Danish, Swedish, Norwegian and English. She replies in the customer's language.
  • Callback requests. She takes the name and phone number and registers a request for you.
  • The reply comes from your own address with your name, and you get a copy in your inbox. She signs as your AI assistant.

What she registers as a request for you

Sofia doesn't guess, and she doesn't know your ongoing cases. These mails she doesn't answer herself:

  • A case or an order you already have running.
  • A complaint.
  • A quote you don't have a fixed price for.
  • Anything she has no information about.

How a request reaches you

She tells the customer that she can't answer that herself and registers a request for you with everything the customer wrote. If a phone number is missing, she asks for one in the same reply so you can call back. The request sits in your customer portal and reaches you by email, like a request from the phone or the chat.

What she leaves alone

Those she leaves in the inbox as they are.

  • Newsletters and advertising.
  • Automatic replies and out-of-office messages.
  • Invoices and mail from suppliers.
  • Mail from your own address. If you reply in a thread yourself, she stops in that thread.

How it works

  1. You get an address at Frontring for your business.
  2. You set your mail program (Gmail, Outlook or whatever you use) to redirect the inbox to that address. The original stays with you.
  3. You add two or three DNS records for your domain so Sofia may send from your address. We send them to you.
  4. Sofia replies. If the customer writes again, she continues the thread. Nothing to install.

What does it cost?

Email is part of the chat plan: from 395 DKK a month excluding VAT for 300 conversations, 195 DKK together with Basic phone answering, and at no extra cost in Pro. An email thread counts as one conversation, however many mails.

Limits, so it never runs away

  • A fixed number of new email threads a day per business.
  • At most six replies in one thread. After that she leaves the thread to you and tells the customer so.
  • She never answers a newsletter or a robot.

Questions about email

Does Sofia reply from our own address?

Yes. The reply comes from your own address with your name, and you get a copy in your inbox. It needs two or three DNS records for your domain, which we send you.

What if a customer writes about a case we already have running?

Sofia never judges a customer's own case. She registers a request for you with everything the customer wrote, so you can answer yourself.

Do we have to change mail program?

No. You redirect your current inbox to Sofia's address in Gmail, Outlook or whatever you use. The original stays with you.

Does she answer spam and newsletters?

No. Newsletters, advertising, automatic replies and invoices she leaves alone.
